Details:
- Location: 100% onsite in Novato, CA
- Schedule: Monday through Friday, 8am to 5pm with some flexibility
- Duration: 3-6 month temporary assignment with potential for temp-to-hire
- Pay Rate: $38-$52/hour, depending on experience
- Background Check: Clear criminal background check and drug screen required
Executive Assistant Responsibilities
- Provide high-level administrative support to senior leaders
- Manage complex and frequently changing calendars, schedules, and priorities
- Coordinate meetings from scheduling through follow-up, including agendas, materials, logistics, and action items
- Prepare presentations, correspondence, reports, and executive-facing materials
- Coordinate travel arrangements, itineraries, and expense reporting
- Organize and facilitate virtual meetings using Microsoft Teams and other collaboration tools
- Track deadlines, deliverables, and key priorities to ensure timely follow-through
- Handle sensitive and confidential information with discretion and sound judgment
- Support special projects and identify opportunities to improve administrative processes and efficiencies
Executive Assistant Qualifications
- 3+ years of experience providing executive-level administrative support
- Experience supporting Directors, Vice Presidents, C-suite leaders, or other senior executives
- Advanced calendar management skills in a fast-paced environment
- Strong Microsoft Teams experience, including virtual meeting coordination, breakout rooms, channels, and shared resources
- High level of proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proven ability to work independently, take initiative, and maintain accountability for results
- Experience in a regulated, professional, research, life sciences, higher education, nonprofit, or similarly complex environment preferred
